RULES AND REGULATIONS, basic costs.

 

The main rules and regulations (the “Rules and regulations”) of participation at the International specialized salon “Dental Kyiv” (the “exhibition”) regulate the general way of the organization and exhibition carrying out by “Sodevcom Ltd.” (the “Organizer”), legal relations between the Organizer and companies – participants in the exhibition (the “Exhibitor”), mutual rights and duties, that are formed in the preparation process and carrying out of the exhibition.

The Palace of ArtsUkrainian House”. Address: 2 Khreshchatyk St., 01001 Kyiv, UKRAINE. Underground station nearby: „Maydan Nezalezhnosti”.

 

Schedule of assembling, exhibition and dismantling

 

Exhibition Set-up and Exhibitors entry: September 27th 2005, 10:00 - 19:00.

 

Exhibition hours:

 

- September 28th , 2006, 08:00 - 18:00

 

- September 29th , 2006, 08:00 - 17:00

 

Exhibits dismantling and Exhibitors move-out: September 29th , 2006, 17:00 - 24:00

 

The Exhibitor has to arrive to the exhibition for displays setting-up in time, mentioned in Rules and regulations, and assemble its stand before the official opening of the exhibition.

 

At the arrival at the exhibition the Exhibitor has to address to the Organizer for fulfilment of all the necessary formalities concerning the registration of participation in the exhibition.

 

All the further work of Exhibitor’s exposition and contacts with the Organizer are leaded though the contact person, appointed by the Exhibitor.

 

Registration

 

Registration of the Exhibitor occurs after the receiving of the appropriate Form at the Committee.

 

The Organizer gives these Rules and regulations, which are an integral part of the Contract, to the Exhibitor in advance, as well as the Application form and other documents, determined by the Organizer.

 

The Exhibitor undertakes to send the signed Application & Contract to the Organizer not later than September 10th , 2006, which is the deadline, and pay all the ordered services.

 

Then the Organizer is responsible before the Exhibitor in limits, foreseen by the Application & Contract and those Rules and regulations.

 

Confirmation of exhibit space, setting up and decoration of exhibits

 

Booth location is discussed during making a Contract. The Organizer is not responsible for the possible following changes in exhibit space allocation. Setting up of exhibits and their location are carried out according to the Application Form for participation in the exhibition.

 

All booths will be assigned on the basis of seniority with regard to the required booth area.

The Exhibitor is not allowed to make any material change in its exhibit or the displays without the written consent of the Committee.  In case if the Exhibitor has expressed desire to carry out additional re-equipment of the stand after the arrival to the exhibition, he submits to the Organizer the additional application for re-equipment of the stand. The possibility of performance and conditions of payment of such works are coordinated with the Organizer.

At the decoration of the stand no single part of the Exhibitor’s exposition or exhibit should extend the limits of the ordered exhibition area. Otherwise it will be considered as advertising outside the ordered area and should be coordinated with the Organizer in addition. The height of the Exhibitor’s stand should not exceed 2.5 meters, the big height or two-storied stands should be coordinated with the Organizer.

 

The Exhibitor has the right to decorate the exposition after the registration in the presence of the person responsible for the Exhibitor’s work at the exhibition.

 

 Programme of events of the exhibition work

 

Among obligatory events during the exhibition there are press-conference and gala diner. Realization of other facultative events which are defined by the Organizer is possible. The Exhibitor has the right to carry out accompanying events during the work of the exhibition independently but with the obligatory coordination with the Organizer.

 

For participation in the gala dinner the separate invitation will be given out for each Exhibitor according to cost of the paid rent of exhibition areas.

 

In the press-conference take part representatives of the Organizer and journalists accredited at the exhibition. The participation of other people is possible only at consent of the Organizer.

 

At the exhibition visitors and participants can visit cafeteria and bars, which will work according to the rules of the exhibition work, use means of communication (phone, fax), office equipment.

 

Participation variants and costs for services

 

The following participation variants are allowed: booth participation, work place and correspondence participation.

The full payment (according to the bill given by “Sodevcom Ltd.”) must be received by the Committee not later than 25 days before the beginning of the exhibition. 

 

All prices are indicated in Euro, VAT and advertisement tax are included.

Payments must be made in hryvnas (UAH) according to the exchange rate of the National Bank of Ukraine.

 For foreign companies - in Euro and Dollars USA.

 

 

The cost of the standard shell scheme consists of: cost of services for granting the exhibition area, a typical set of a stand construction, general advertising of the exhibition, passings to the exhibition, connection and use of the electric power on stands, the coordination and execution of measures of electro-safety and fire-prevention safety, the invitation (one ticket on 1 m2 of the area of the stand), protection of exhibits in and after working hours, illumination, ventilation, municipal services, cleaning, participation in the events (press conference and gala dinner).

The cost is included into the rent of module

 

Depending on the type of the exhibition area, the following factors of increase of cost are used:

 

- 2 sides of a booth are openby 1,2;

 

- 3 sides of a booth are openby 1,3;

 

- 4 sides of a booth are openby 1,4.

 

Additional services (see table 1)

 

We offer to you to carry out presentation, seminar, round table, a buffet table or other. The cost of the necessary demonstration equipment is discussed with the Organizer. Please send the information to the Committee a month before the opening of the exhibition.

 

Terms of payment

 

The Exhibitor must make full payment for the ordered exhibition space of the registration fee, additional equipment and services in terms specified in the Contract (not later than 25 days before the exhibition).

 

The payment of additional services ordered at the exhibition must be made before the last day of the exhibition. The last day of the work of the exhibition, the both Parties make, sign and stamp the Certificate on services fulfillment. This Certificate forms an integral part of the Contract between the Organizer and the Exhibitor. The Exhibitor is obliged to give to his exhibit contact person necessary powers (the power of attorney) for signing the above-stated Certificate.

 

The cost of all kinds of services connected with the participation at the exhibition is specified by the Organizer in Euro, including all taxes.

 

The payments are received in hryvnas (UAH) according to the exchange rate of the National Bank of Ukraine on the account of the Organizer. For foreign companies – in Euro and Dollars USA.

 

The other forms of payment are possible under the arrangement.

 

All bank charges must be paid by the Exhibitor.

 

Cancelling participation

 

If the Exhibitor shall seek to cancel its contract, written notice thereof shall be given to the Committee by registered or certified mail not later the official term of receiving of the Application form (March 15, 2006). During 2 weeks after the receipt of written notice, the Exhibitor shall be entitled to a refund of money paid except for 15 % from this sum. The Exhibitor can renew its participation at the exhibition on the correspondence participation form without additional payments.

 

If the cancellation notice is received after the September 10th , 2006, during 2 weeks the Exhibitor shall be entitled to a refund of money paid except 60 % from total payment. The Exhibitor can renew its participation at the exhibition on the correspondence participation form without additional payments.

 

If such notice is received 10 days before the opening of the exhibition, the Exhibitor shall not be entitled to any refund whatsoever.

 

The Organizer has the right to reject the Exhibitor’s application for participation at the exhibition in the following cases:

 

-         If the Exhibitor fails to comply with terms of contract or violates any of the provisions of these Rules and Regulations.

 

-         The Organizer at the moment of the reception of the application has no free exhibition areas for satisfaction of the requirements of the Exhibitor.

 

-         The declared exposition of the Exhibitor does not match the subject of the exhibition.

 

Exhibition Catalogue

 

Each Exhibitor has to give the information on his company (according to the Application/Contract form) for the publication in the exhibition catalogue (A5 format). The cost of publishing the information in the catalogue is an integral part of the total payment for participation in the exhibition. The Official Exhibition Catalogue is distributed free of charge among the participants of the Conference and the exhibition, the exhibition visitors, at the international exhibitions abroad, at the different events of the Ukrainian Dental Association. Trademarks, advertisements and other information of the Exhibitor are paid on special rates and are to be ordered additionally. The official exhibition Catalogue is printed by the authorized publishing house. The Organizer accepts no liability for printed mistakes.

Co-Exhibitors

 

The Exhibitor is not permitted to transmit, to relocate, to share, to rent or otherwise make available to third parties his exhibition area without the prior approval of the Organizer. For every company using Exhibitor’s booth area with his own exhibits and/or its own personnel, issuing additional company sign at the fascia board, placing its own entry in the Official Exhibition Catalogue (co-exhibitor), the “co-exhibitor fee” is to be paid by the Exhibitor. The Exhibitor is entitled to place the co-exhibitor’s entry in the Official Exhibition Catalogue.
